AI note helper

Version 2026-10-27

This is a final draft waiting for medical and legal review. It is not in force yet.

The short version

  • The AI note helper listens to your visit so your provider can look at you instead of typing.
  • It only records sound. It never records video.
  • It is only used if everyone on the call agrees.
  • The recording is deleted as soon as the draft notes are made.
  • Your provider checks every line and signs the notes. Nothing reaches you or your record without that check.
  • Saying no changes nothing about your care.
  • You can stop it at any time during the visit.

1. What the AI note helper is

Some providers use the AI note helper. It turns the conversation in your visit into a draft of the visit notes. Your provider can then pay attention to you instead of typing.

It works in video visits. Your provider can also use it in an office visit.

2. Everyone must agree

  • The AI note helper is only used if you agree. If the visit is for a child or someone you care for, you agree for them.
  • Everyone else on the call or in the room must agree too, such as a parent, carer or interpreter. If anyone says no, it is not used.
  • For a video visit, we ask you in the app before the visit. You can say yes or no.
  • Your provider may also ask you out loud at the start. They tick that you agreed. If you said no in the app and then say yes out loud, we record both answers.

3. Saying no changes nothing

You get the same care whether you say yes or no. Your provider simply writes the notes themselves.

4. Stopping during the visit

You can stop it at any time. Tap "Turn off AI notes" or tell your provider. The recording so far is thrown away and your provider writes the notes themselves.

5. How it works

  1. Your provider's device records the sound of the visit. Only sound is recorded. The picture is never recorded.
  2. The recording is sent over an encrypted connection to private storage at Amazon Web Services in the United States.
  3. A service called AWS HealthScribe turns the recording into a written draft. Amazon must not use it to train its models.
  4. As soon as the draft is made, we delete the recording and every copy the service made. If a deletion fails, our system tries again every 15 minutes until it works.
  5. If a draft cannot be made, the recording is deleted too.

6. The draft

  • The draft goes only to your provider. It never reaches you by itself.
  • Next to each line it shows a short quote from the conversation. This lets your provider see where it came from.
  • If the draft mentions a medicine you said you are allergic to, it warns your provider.
  • A draft your provider does not use is cleared after 30 days.

7. Your provider checks and signs

  • Your provider must read every line, fix anything that is wrong and add anything missing.
  • Only the notes your provider signs become part of your record.
  • Notes made this way say "Drafted with AI, checked by" your provider.
  • Your provider is responsible for the notes, whether or not they used the AI note helper.

8. Your agreement

By ticking the box, you agree that the sound of this visit may be recorded and used to draft your visit notes, as this page explains. We keep a record of your answer and when you gave it.
